Purpose:To provide a step-by-step guide to reviewing a travel reservation on an Travel Document for any violations of the Federal Travel Regulation (FTR) or the Health and Human Services (HHS) Travel Policy.

Select Approvals Tab

From the home page of ConcurGov, select the “Approvals” tab.

Identify Document

Identify the travel document that you need review from the "Document List."

Select View/Change Reservation

In the “Actions for…” pop up window, select the “View/Change Reservations.”

Check for Policy Violations

Select the “Request Status/History” tab to view policy violations. Additional information can be found under the “History/Notes” section.

Verify Reason for Violation

The “Flight Rule Triggered” and “Hotel Rule Triggered” sections list the type of violation. The “Reason Code” section lists the reason as to why the Traveler or Arranger selected that flight or hotel. The “Options turned down” section allows the Approver or Routing official to see a list of flights and hotels that were available but not chosen. In this example, no flight options complied with the rules but a better option was available at the time of booking. The Approver or Routing official can now determine if the policy violation is acceptable according to the Federal Travel Regulation (FTR) and/or HHS Travel Policy.
